Purpose

AI Autofill automates the creation and population of Opportunities from Invitation to Bid (ITB) emails. This feature helps users who regularly receive ITBs streamline their bid management process by automatically extracting project information and creating new Opportunities in TRUE, reducing manual data entry and potential errors.

Requirements

• TRUE Version 19.1.24 or later
• Contracts package enabled
• Email Capture feature configured

Using AI AutoFill

1. Opportunities Module

1. Navigate to the Opportunities module
2. Click "+" > Email Capture
3. Use code KOSMASEC-PJ-NEW when capturing email
4. System automatically processes and creates your opportunity

2. In Existing Opportunity

1. Use code to capture email
2. Navigate to an existing Opportunity, or create a new one
3. Click Options menu
4. Select AI AutoFill
5. Choose your email from the displayed list
6. System processes and populates the opportunity

What Gets Captured

• Project Information: Names, descriptions, and full scope of work
• Location Details: Complete job site address
• Company Information: Automatically matches or creates new company records
• Contact Details: Links existing contacts or creates new ones with phone/email
• Bid Timeline: Due dates
• Project Scope: Additional details and requirements

Common Issues and Troubleshooting

• If AI Autofill doesn't trigger automatically, verify that the KOSMASEC-PJ-NEW code is included in the email body.
• Ensure your Email Capture feature is properly configured. Clients updating from older version of TRUE may not have this feature configured, reach out to our support team or submit a ticket for additional assistance.
• This feature is currently only available in the Contracts workflow, ensure you have the correct package enabled for Contracts access.
