Purpose

The Map module allows users to track the real-time location of company devices on an interactive map using the TRUE Field mobile application. This module provides visual tracking of field personnel, equipment, and assets with GPS data synchronized from TRUE Field, enabling managers to monitor device locations, view last GPS check times, and display facility, quote, job, contract, and time punch information on a centralized map interface.

Getting Started

The Map module is located in the Planning workflow.

  1. Click the ≡ icon in the upper left corner of the screen
  2. Select Planning from the main menu
  3. Click the Map tab

TRUE Field is the mobile application that transmits GPS location data from company devices to the Map module.

  • TRUE Field must be installed and running on each device you want to track
  • The app is available for both Apple iOS and Android devices
  • Devices must have GPS enabled and an active internet connection
  • Location data is transmitted periodically while the app is running

Use the refresh button to update the map with the most recent GPS data.

  1. Navigate to the Map module
  2. Click the (refresh) button to reload device locations with the latest data

Tip: The refresh button updates all map data, including device positions, facilities, quotes, jobs, contracts, and time punches based on your current filter settings.

Map Display & Filters

The Map module provides toggle buttons to control which types of data are displayed on the map.

  • Click any Show button to display that data type on the map
  • Click any Hide button to remove that data type from the map view
  • Available toggles include: Facilities, Quotes, Jobs, Contracts, Assigned records, and Last Punches
  • Multiple data types can be displayed simultaneously to create a comprehensive view

The Map module can display multiple types of location data depending on your filter settings.

  • Device Locations: Current GPS positions of company devices running TRUE Field
  • Facilities: Company facility locations configured in the system
  • Quotes: Job site addresses from active Quote records
  • Jobs: Job site addresses from active Job records
  • Contracts: Job site addresses from active Contract records
  • Assigned Records: Records assigned to specific users or personnel
  • Last Punches: Location of the most recent time clock punch for each device

The Last GPS Check shows when the device last transmitted its location to the system.

  • Displays the exact date and time of the most recent location update
  • Helps identify if a device is actively transmitting or has lost connection
  • Updated automatically when TRUE Field app sends new GPS data
  • If the timestamp is outdated, the device may be offline, have GPS disabled, or lack internet connection

Device Setup & Management

Custom device names help you quickly identify which device belongs to which employee or vehicle on the map.

  • Device names can be customized to reflect the device owner or purpose (e.g., "John Smith Phone", "Service Van 3")
  • Custom names appear on the map instead of generic device identifiers
  • Contact your system administrator to configure or modify device names

Note: Descriptive device names make it easier to monitor field operations and locate specific personnel or equipment.

Yes, images can be added to device records to provide visual identification on the map.

  • Images help quickly identify devices by showing employee photos or vehicle images
  • Visual identification is especially useful when managing large fleets or field teams
  • Contact your system administrator to upload or modify device images

To track a device on the Map module, it must have TRUE Field installed and properly configured.

  1. Download TRUE Field from the Apple App Store (iOS) or Google Play Store (Android)
  2. Install the app on the device you want to track
  3. Log in with the user's TRUE ERP credentials
  4. Enable GPS/location services on the device
  5. Ensure the device has an active internet connection (cellular or Wi-Fi)

TRUE Field Integration

TRUE Field is available for both major mobile platforms.

  • Apple iOS: Download from the Apple App Store for iPhone and iPad devices
  • Android: Download from the Google Play Store for Android phones and tablets

Device tracking requires specific settings and capabilities on the mobile device.

  • GPS Enabled: Location services must be enabled on the device
  • TRUE Field Permissions: The app must have permission to access device location
  • Internet Connection: Active cellular data or Wi-Fi connection required to transmit location data
  • App Running: TRUE Field must be running (can be in background) to send GPS updates
  • Battery level may affect GPS accuracy and update frequency

If a device location is not updating, check the following common issues:

Configuration & Administration

Access to the Map module is controlled by user permissions. If you cannot see or access this module:

  1. Contact your system administrator
  2. Request the Module Access (Maps) permission (ID #1512)
  3. Once granted, you'll find the module in PlanningMap
