Purpose

The eForms module manages all customizable form templates used throughout TRUE ERP. Access this module from the main navigation menu by selecting the gear icon and choosing eForms (Settings > eForms). Users can configure, customize, and manage standardized document templates for generating professional forms across different modules including Quotes, Invoices, Purchase Orders, Contracts, and more. The module integrates seamlessly with business workflows, providing document consistency, automated form generation, and the ability to create custom-sequenced templates with headers, footers, signature blocks, and terms and conditions.

Additional Features & eForm Templates

The eForms module provides additional tools for managing and customizing templates. Users can view applied eForms across the system, create new templates, and combine standard components to build custom-sequenced documents.

Additional Features

Display and filter the eForms across the system that have been generated. This feature allows users to track all document instances created from templates, view generation history, and monitor eForm usage across different modules.

Click the + button to create a new eForm template. This opens the template designer where users can build custom forms by combining standard components, adding custom content, and configuring layout options.

Click the button to refresh the form list and display the most current templates and applied eForms.

The menu icon provides management options for individual eForm templates:

Hide eForm Hide this eForm from the dropdown eForm list within that module. The template remains in the system but is not available for selection when generating documents.
Delete Permanently remove the form template. Requires permission: Delete eForms Template (ID #1568)

eForm Selection

To select an eForm template when generating documents:

  1. Navigate to the module where you're creating the document (Quotes, Invoices, Purchase Orders, etc.)
  2. Click the Print/Generate or eForm button
  3. Select the desired eForm template from the dropdown list
  4. Configure any template-specific options if prompted
  5. Click Generate to create the document

The appropriate eForm depends on your document type and content:

For Quotes

  • Quote - Items: Use when providing itemized pricing with line items
  • Quote - Lump Sum: Use for single total price quotes without item breakdown
  • All-In-One: Use for comprehensive quotes that include cover letter, terms, and detailed specifications
  • Quote - No Items: Use for basic quotes without line item details
  • Proposal (Fencing): Use specifically for fencing industry quotes

For Invoices

  • Invoice: Use for standard sales invoices with full details
  • Invoice (Summary): Use when providing summarized billing information

Tip: Deprecated templates (marked "Original - Deprecated") are maintained for compatibility but new users should use current versions.

Yes, you can generate multiple eForms for the same quote, invoice, purchase order, or contract. Each eForm generation creates a separate document instance that can be viewed in the View Applied eForms section. This is useful when you need different document formats for different purposes or recipients.

Template Customization

To create custom eForm templates:

  1. Click the + button in the eForms module to open the template designer
  2. Select the base template components (cover letter, signature blocks, terms and conditions, etc.)
  3. Arrange components in your desired sequence
  4. Configure headers, footers, and layout options
  5. Save the template with a descriptive name

Standard system templates cannot be directly modified, but you can create a copy of an existing template and customize it. To modify a template:

  1. Navigate to Settings > eForms
  2. Find the template you want to base your custom version on
  3. Use the template as a starting point for your new custom template
  4. Make your desired modifications in the template designer
  5. Save as a new template with a unique name

This preserves the original system templates while giving you full customization flexibility.

Company branding elements (logos, headers, footers, contact information) are configured in the template designer:

  1. Open the template in the eForm designer
  2. Add your company logo to the header section
  3. Configure header and footer text with contact information

Yes, TRUE support can assist with minor eForm adjustments on a case-by-case basis. Simple modifications that may be accommodated include:

  • Minor layout tweaks and spacing adjustments

Custom eForms & Advanced Workflows

Beyond simple adjustments, TRUE can create fully custom eForms and workflows tailored to your business processes. Custom eForms are not part of the standard TRUE system and are treated as billable customizations. Contact TRUE support to discuss your needs and receive a scope estimate.

eForm Management

To hide an eForm template from dropdown selection lists:

  1. Navigate to Settings > eForms
  2. Find the template you want to hide
  3. Click the menu icon for that template
  4. Select Hide eForm

The template remains in the system but will not appear in module dropdown lists. This is useful for deprecating old templates or temporarily removing templates from user selection without deleting them.

To permanently delete an eForm template:

  1. Navigate to Settings > eForms
  2. Find the template you want to delete
  3. Click the menu icon for that template
  4. Select Delete
  5. Confirm the deletion

Warning: Deleting an eForm template is permanent and cannot be undone. Previously generated documents using this template will remain, but the template itself will no longer be available for new documents.

To view all generated eForms across the system:

  1. Navigate to Settings > eForms
  2. Click View Applied eForms
  3. Use filters to narrow results by module, date range, or template type
  4. Click on any generated eForm to view details or regenerate the document

This provides a centralized view of all document instances created from eForm templates, useful for auditing, tracking, and document management.

Yes, users with appropriate permissions can delete generated eForm documents. To delete an applied eForm:

  1. Navigate to Settings > eForms
  2. Click View Applied eForms
  3. Find the generated document you want to delete
  4. Click the delete option for that document
  5. Confirm the deletion

Note: Deleting an applied eForm requires the Delete eForms (Applied) permission (ID #675). Contact your system administrator if you cannot delete generated documents.

Configuration & Administration

Access to the eForms module is controlled by user permissions. If you cannot see or access this module:

  1. Contact your system administrator
  2. Request the User can access the eForms module via the Settings menu permission (ID #351)
  3. Once granted, you'll find the module in Settings (gear icon) > eForms

Note: Administrators can manage permissions in Settings > Users / Access > select user > Access tab.

Deleting eForm templates and applied eForms requires specific security permissions:

To Delete eForm Templates

  1. Contact your system administrator
  2. Request the Delete eForm Template permission (ID #1568)
  3. This permission is found in the eForms section of user access settings

Alert notifications for eForm eSignatures are controlled by user permissions. To enable this alert:

  1. Navigate to Settings > Users / Access
  2. Select the user who should receive alerts
  3. Go to the Access tab
  4. Find the eForms section
  5. Enable Alert when eForms are eSigned (ID #1588)

Tip: This alert is particularly useful for managers who want to monitor eSign activity but aren't directly assigned to the source records (quotes, contracts, etc.).

Default eForm templates can be configured in Company Preferences for certain modules:

  1. Navigate to Settings (Gear icon) → Company Preferences → the relevant module section (e.g., Time Card settings)
  2. Locate the "Default eForm" or similar setting
  3. Select your preferred template from the dropdown
  4. Save changes

Setting default templates ensures consistent document formatting and reduces user selection time when generating documents.
