Purpose

The Tools module allows users to track maintenance and assignments for tools and equipment. Users can save documentation and files, track all the details for tools or equipment, and generate reports. Tools can be assigned to cost centers, divisions, facilities, locations, or personnel records for accurate resource tracking. The module supports QR code labels for easy identification and scanning, plus comprehensive maintenance logging.

Search & Filter Options

Use these options to quickly locate specific tools in your inventory.

Option Description
Quick Search Search for a tool using the tool name, assignment, or ID.
My Tools Filter all tools assigned to the logged-in user's username.
Archive View tools that have been archived.

Reports

Click the PDF icon to generate the following reports:

Report Description
Summary Report Overview of all tools with basic information and current assignments.
Maintenance Report Report of maintenance activities and schedules for all tools.

Record Options & Actions

Select the ≡ icon on a record to access these options:

Option Description
Assign/Unassign Assign tools to a cost center, division, facility, location, or personnel record. Select clear to remove an assignment.
Preventative Check Perform a preventative maintenance check on the selected tool.
New Maintenance Log new maintenance performed on the tool.
New Checklist Create a checklist record related to this tool.
Print Label Print a unique label for the tool with a scannable QR code.
Duplicate Duplicate and create a copy of the selected tool.
View History View related history records for this tool.
Delete Permanently delete the selected tool.

Selected Tool View

When a tool is selected from the list view, the Selected Record section displays detailed information organized across multiple modes: Overview, Assignments, Preventative, and Maintenance.

Record Modes

The Overview mode displays core tool information including identification, purchase details, and categorization.

Field Description
ID System generated ID. ID formats can be modified within Company Preferences. Select the field to modify the selected tool.
S/N Enter a tool serial number.
Brand Enter the tool's brand.
Category Assign a category. Customizable drop-down field, configurable in the Categories module.
Description Enter a brief text description of the tool.
Purchase Date Enter the date the tool was purchased.
Purchase Cost Enter the cost of the tool.
Archive Archive the selected tool record to remove it from the active list.

View the assignment history for this tool, including who has had the tool and when it was assigned.

Field Description
Assignment The person, department, or entity to whom the tool is assigned.
Timestamp The date and time of the assignment.
User The username that changed or assigned the tool.

View the preventative maintenance history for this tool. Track scheduled inspections and safety checks.

Review the maintenance records for this tool. All logged repairs, services, and maintenance activities are tracked here.

Common questions and step-by-step guidance for managing tools

Getting Started

To add a new tool record:

  1. Navigate to the Tools module from the Equipment menu.
  2. Click the + icon at the top of the list.
  3. Enter a Description or name for the tool.
  4. Enter the Serial Number and Brand.
  5. Select a Category from the dropdown.
  6. Enter the Purchase Date and Purchase Cost.
  7. Click Save to create the tool record.

To assign a tool to personnel:

  1. Locate the tool in the Tools list.
  2. Click the icon on the tool record.
  3. Select Assign/Unassign.
  4. Choose the assignment type (Personnel, Cost Center, Division, Facility, or Location).
  5. Search for and select the person or entity.
  6. The assignment will be logged with a timestamp in the Assignments mode.

Maintenance & Tracking

To record maintenance performed on a tool:

  1. Click the icon on the tool record.
  2. Select New Maintenance.
  3. Enter details about the maintenance performed.
  4. Add any notes or documentation.
  5. Save the maintenance record.
  6. View all maintenance history in the Maintenance Mode of the tool record.

To perform a preventative maintenance check:

  1. Click the icon on the tool record.
  2. Select Preventative Check.
  3. Complete the checklist items configured for tools.
  4. Note any issues or concerns.
  5. Save the check - it will be logged in the Preventative Mode.

To configure the checklist and interval for tool preventative checks:

  1. Navigate to Company Preferences using the Gear icon.
  2. Go to the Vehicle section (also applies to Tools).
  3. Select the Checklist that should be included with every preventative maintenance entry.
  4. Enter the Maintenance Interval in days - this sets when a preventative maintenance check will be required for all tools regardless of condition.
  5. Save your preferences.

Note: These settings apply globally to all tools. When the maintenance interval passes, tools will be flagged as needing a preventative check.

To print a scannable QR code label:

  1. Click the icon on the tool record.
  2. Select Print Label.
  3. A printable label will be generated with a unique QR code.
  4. Print and attach the label to the physical tool.
  5. Scan the QR code to quickly access the tool record in TRUE.

Management

To view your assigned tools:

  1. Navigate to the Tools module.
  2. Click the My Tools filter button.
  3. The list will filter to show only tools assigned to your username.

If you cannot select into a tool record, you may be missing the View Tool Details permission. This permission is typically assigned to Shop Managers responsible for maintaining tool records.

Without this permission, users can:

  • View the tool list
  • Use the menu to enter preventative checks
  • Filter to see their assigned tools

Contact your administrator to request the View Tool Details permission if you need full access to tool records.

To archive a tool while preserving its history:

  1. Open the tool record in Overview Mode.
  2. Check the Archive checkbox.
  3. Save the record.
  4. The tool will be hidden from the default list view.
  5. To view archived tools, click the Archive filter.

Access Permissions

Configure user access to the Tools module via SettingsAccess

Permission Description
Module Access (Tools) User can access the Tools module in the Equipment workflow.
Permission Description
New Tools User can add a new tool.
Delete Tools User can delete a tool record from the tools module.
New Maintenance User can add a maintenance record within the tools module.
View Tool Details User can view the tool details such as the name, S/N, assignment history, etc.

Enable these alerts for Shop Managers or personnel who need to stay informed about tool status:
