Purpose
The TRUE Field mobile application allows field and mobile operations personnel to connect with the home office and TRUE users from anywhere. TRUE Field users can view job details, contracts, work tickets, schedules, and events. They can also document job progress, upload and view images and files, create change order requests, submit daily reports, view line items, log expenses, and perform various other field-related tasks.
⚠️ Requirements: TRUE Field requires a subscription to TRUE. The Time Clock feature launches the companion app, TRUE Time, for mobile time tracking.
Using TRUE Field
Users can assign TRUE Field users directly to Jobs, Contracts, or Work Tickets. This will automatically display that record when logging into TRUE Field. Alternatively, users can create "Schedules" in TRUE from those types of records, and TRUE Field users can instead access the relevant information through the "Schedules" button found in the TRUE Field main menu.
Access Methods: Assigned vs Scheduled
The process of assigning a user directly to a Job, Contract, or Work Ticket via the Assigned button. This appears within TRUE Field within the "Jobs", "Contracts", and "Work Tickets" buttons.
| Pros | Cons |
|---|---|
| Easily grant access to a record in TRUE to a TRUE Field user | Displays in a TRUE Field user's list until the record is completed and archived |
| Ability to grant access to multiple records in TRUE at once via batch select | More difficult to access within TRUE Field |
The process of creating a schedule and assigning the TRUE Field user as a "Resource".
| Pros | Cons |
|---|---|
| Simplifies viewing scheduled work for the day in TRUE Field | If there are changes to the schedule, TRUE users need to manipulate the schedule |
| Easy to manipulate | Requires a TRUE user to create and assign a schedule |
| Allows for easier timekeeping via "Schedules" button in TRUE Time |
App User Account Setup
All users of TRUE Field must have a user account created in TRUE. There is no limit to the number of TRUE Field users that can be added, and Field users do not affect the TRUE subscription users.
Main Menu
Once a user has successfully signed in, they will be taken to the Main Menu page. Each menu option opens a list of the records that user can access. Tapping a record in that list opens its Selected Record view (described below). The Main Menu options are:
- Contracts
- Jobs
- Work Tickets
- Schedules
- Quotes
Navigation: Main Menu → tap an option (e.g. Contracts) → list of records → tap a record → Selected Record view. Schedules are not a separate record type — they are shared with their related record (Contract, Job, or Work Ticket) and appear within that record via the Schedule button.

- Tap a job to open it and access its details
- Jobs remain visible until marked complete and archived in TRUE
- From the TRUE Field Main Menu, tap Schedules

The Jobs button shows all jobs you're directly assigned to, while the Schedules button shows only work scheduled for specific dates.
| Button | What It Shows |
|---|---|
| Jobs | All jobs where you're assigned via the Assigned button in TRUE. Jobs persist in your list until completed and archived. Good for project managers, foremen, and long-term assignments. |
| Schedules | Only schedules assigned to you for today or upcoming dates. Schedule-based access is time-bound and cleaner for daily field crews. Good for installation crews, daily work assignments, and rotating crews. |
Tip: The Schedules method is recommended for most field crews as it automatically shows only relevant work for the day, eliminating clutter and confusion.
Schedule-based assignment is recommended for most field crews because it provides cleaner daily views and automatic expiration of access.
| Factor | Direct Assignment | Schedule-Based |
|---|---|---|
| Duration | Job stays in list until archived | Job appears only for scheduled dates |
| View Clutter | List grows with each assignment | Shows only today's/upcoming work |
| Access Control | Manual removal required | Automatic expiration after schedule date |
| Best For | Project managers, long-term assignments | Installation crews, daily dispatching |
Benefits of Schedule-Based Workflow:
- Field crews see only what they're working on today - no confusion
- Dispatchers can reassign work by moving schedules, not editing assignments
- Calendar views show crew capacity and availability
- Historical access automatically expires - security and simplicity
Tip: Use direct assignment for supervisors who need ongoing access to multiple jobs. Use schedules for crews who work different jobs each day.
If you don't see an expected job in TRUE Field, verify the assignment method and Resource name.
Troubleshooting Steps:
- Confirm you're assigned to the job or schedule in TRUE
- Check if assigned directly (appears in Jobs button) or via schedule (appears in Schedules button)
- For schedule-based access, verify the schedule date matches today or a future date

File visibility in TRUE Field is controlled by TRUE administrators to protect sensitive information like pricing and estimates.
How File Visibility Works:
- Files must be marked as "TRUE Field Visible" in TRUE to appear in the mobile app
- TRUE administrators can batch-select files and toggle TRUE Field visibility
- This prevents field crews from seeing pricing documents, internal estimates, or confidential communications
- Field-uploaded photos are automatically visible to all users
Note: Contact your TRUE administrator if you need access to a specific file that is not currently visible in TRUE Field.

- All selected files will have their visibility toggled
Files to Keep Hidden from Field:
- Pricing documents and estimates
- Internal communications and emails

Troubleshooting
If schedules don't appear in TRUE Field, verify assignment and Resource name configuration.
Troubleshooting Steps:
- Verify you're assigned as a Resource to the schedule in TRUE
- Check that the schedule date is today or a future date (past schedules don't display)
- Ensure the Resource name in the schedule exactly matches your TRUE user account name (case-sensitive, no extra spaces)
- Confirm the schedule hasn't been archived or deleted in TRUE
- Contact your TRUE administrator to verify Resource configuration
Note: Resource names are configured in Company Preferences > Calendar/Events/Schedules and must match user account names exactly for TRUE Field and TRUE Time access.
The most common cause is a Resource name mismatch. Resource names are case-sensitive and must exactly match user account names.
How to Diagnose:
- Open the schedule in TRUE and check the Resource assigned
- Navigate to Gear → Users / Access and find the user's exact account name
- Compare the Resource name character-by-character with the user account name
- Look for common mismatches: capitalization, extra spaces, name format differences
Common Mismatch Examples:
| Resource Name | User Account | Problem |
|---|---|---|
| john smith | John Smith | Capitalization difference |
| John Smith | John Smith | Trailing space in Resource |
| Smith, John | John Smith | Different name format |
| J. Smith | John Smith | Abbreviated vs full name |
How to Fix:
- Navigate to Gear → Company Preferences → Calendar / Events / Schedules
- Click the Resources tab
- Find and edit the Resource entry
- Copy the exact user name from Users / Access and paste into the Resource Name field
- Save changes - schedules should now appear for the field user
Tip: Always copy and paste user names instead of typing them manually to avoid invisible character differences.
Login issues are typically caused by incorrect credentials, disabled accounts, or network connectivity.
Troubleshooting Steps:
- Verify you're entering the correct Username and Password (case-sensitive)
- Check that your user account is active in TRUE (contact your administrator)
- Ensure you have internet connectivity (WiFi or cellular data)
- Try resetting your password in TRUE if you've forgotten it
- If problems persist, see the login help article or contact support
