Purpose

The Routing module manages delivery routes within TRUE, with each route representing a single truck's scheduled deliveries for one day. Routes are automatically created when pick tickets or deliveries are scheduled, helping coordinate loading, delivery sequencing, and billing workflows.

List View

The list view displays all routes in the system with their current status and key information.

Status Counters

The system displays status counters at the top of the screen, which administrators can customize through Settings > Categories.

When selecting a specific route, users can access detailed information across three tabs.

Frequently Asked Questions

Route Creation & Setup

Routes are typically generated automatically through the following triggers:

  1. New pick tickets are created
  2. Deliveries are scheduled from orders
  3. Orders are processed for shipping

When these events occur, TRUE checks for existing routes matching:

  • The delivery date
  • The assigned truck
  • Available capacity

If a matching route exists, the system adds the stop to the existing route. If no matching route exists, a new route is created.

Note: Routes are designed for single-day, single-truck operations. Multiple days or trucks require separate route records.

To customize route stages and types:

  1. Navigate to Settings > Categories.
  2. Select Routing from the module list.
  3. Configure Stage options (e.g., Scheduled, Loading, In Transit, Delivered).
  4. Configure Type options (e.g., Local Delivery, Long Haul, Express).
  5. Save your changes.

These customizations will appear in the route filters and status counters on the list view.

Loading & Delivery

The recommended loading process follows these steps:

  1. Loading team accesses pick tickets in reverse delivery order.
  2. Items are loaded last-in-first-out (LIFO) based on delivery sequence.
  3. Team confirms loading status for each item through pick tickets.
  4. Mark each stop as LOADED when complete.
Best Practice: Loading is typically scheduled for the day before delivery to ensure trucks are ready for early morning departures.

Drivers can manage deliveries using their mobile device or tablet:

  1. Access routes via the TRUE Field mobile app or tablet interface.
  2. Use the integrated Google Maps for turn-by-turn navigation.
  3. Update delivery status at each stop by checking the DELIVERED box.
  4. Report problems or exceptions using the notes field.
  5. Complete the manifest at each delivery location.

All updates sync back to the main system in real-time.

To reorder stops on a route:

  1. Open the route and navigate to the Stops tab.
  2. Click the button next to the stop you want to move.
  3. Select Move from the menu.
  4. Specify the new position for the stop.
  5. The route will automatically recalculate.

Alternatively, use the Map tab to visualize stops and optimize the route using Google Maps integration.

Route Optimization

TRUE provides several tools for route optimization:

  1. Manual arrangement: Schedulers can drag and reorder stops based on local knowledge.
  2. Automatic optimization: Use the Map tab's Google Maps integration for suggested routing.

The system considers these factors when optimizing:

  • Delivery sequence requirements
  • Geographic location of stops
  • Time windows for deliveries
  • Vehicle capacity constraints

Two specialized reports are available from the menu:

  • Directions Report: Generates turn-by-turn directions for the current route set.
  • Stops Report: Lists all stops with addresses, order numbers, and delivery status.

Both reports can be generated for filtered results, allowing you to create reports for specific dates, stages, or assigned drivers.

Billing & Completion

To complete a route and process for billing:

  1. Ensure all stops are marked as DELIVERED.
  2. The system automatically updates inventory and order status.
  3. Navigate to each stop and verify delivery confirmation.
  4. Check the BILLED box for each stop to mark for invoicing.
  5. Accounting can generate invoices from completed routes via the Shipping module.
  6. Archive the route for historical reference.

Use the Unbilled filter in Advanced Filter to find routes pending billing.

  • Archive: Removes the route from active lists but preserves it for historical reference. Archived routes can be viewed by clicking the Archived filter. Use this for completed routes.
  • Delete: Permanently removes the route from the system. This action cannot be undone. Only use delete for routes created in error.
Warning: Deleting a route may affect related shipping and billing records. Always archive completed routes rather than deleting them.

Access to the Routing module requires specific permissions configured by your system administrator:

Contact your system administrator at Settings > Users/Access to request access.

The Routing and Shipping modules work together:

  • Shipping records create stops on routes when deliveries are scheduled.
  • The View Shipping action on any stop opens the linked shipping record.
  • Delivery status updates in Routing sync to Shipping records.
  • Billing can be processed through either module.

Navigate to Materials > Shipping to manage shipping records directly.
