Purpose

The Files module is the central location where all files, documents, or images can be accessed, searched, and uploaded. Users can save and relate any file type to chosen records in TRUE.


Files Grid View

In the grid view, files are displayed as thumbnails, allowing for quick visual identification. This view is particularly useful for image files.

View Options

LIST Displays files in a compact list format.
GRID: Shows files as thumbnails in a grid layout.
CLASSIC The older view with a traditional list layout (deprecated).

Search & Filter Options

Search Enter text to search for files by title, file name, or description.
Column Sorting Select the column within the “List” view to sort the files by the respective field.

Additional Features

Upload File(s) Select to upload files.
Upload Folder Select to upload folder containing files.
"+" Icon Add a new file or folder.
Checkbox Select multiple files for batch actions.
Rows per page Choose the number of files to display per page.

Batch Action Options

DOWNLOAD Download selected files.
MOVE FILE Relocate selected files to a different folder.
ENABLE TRUE FIELD Make selected files available in TRUE Field app.
DISABLE TRUE FIELD Remove selected files from TRUE Field app access.
DELETE Permanently remove selected files.

File-specific Actions

Cloud Icon Open the file in a new tab or window.
Share Icon Generate a sharing link for the file.
Hart Hat Icon Toggle TRUE Field access for the file.

Selected File

Title The title of the file, editable by the user.
Description Additional details about the file.
Date The date associated with the file, editable by the user.
Category Categorization of the file. Customizable.
Company Toggle if this file should be added to the Companywide accessible files list.
Field Toggle if this file is available within TRUE Field.

Additional Features

Classic View Select to view the file in Classic View.
Markup Select to use the “Markup” feature. Available for both images and PDF files.
Download Select to download the file.
Open Select to open the file.
Share Select to generate a share link.
Done Select to close the file or save changes.

Markup Tool

The Markup Tool allows users to edit images by adding annotations, text, arrows, or other markings directly in TRUE.

Edit Options

Color Choose from yellow, red, green, blue, black, or white for annotations.
Line Width Choose line width.
Arrows Create lines with an arrow automatically added to the endpoint.
Font Size Choose desired font size for text.
Add Text Enter desired text and select the Add button.
Add Circle Place a circle in the desired position on the image.
Rotate Rotate the image to the desired position.
Undo Undo the last markup or change made.
Clear Clear last change or markup on the image.
Save Save current image, markups, and changes.

Classic View (Deprecated)

The classic view provides a traditional list layout with detailed information for each file. While still accessible, this view is no longer the primary interface and may not receive future updates.

File Detail View

Search & Filter Options

Search Enter text to search for files by title, file name, or description.
My Files Filter to show all files assigned to the current user.
Cabinet Filter to show all files assigned to the company cabinet.

File Information

Title The title of the file, editable by the user.
Filename Display the file's name.
Date The date associated with the file, editable by the user.
File Size Display the selected file's size.
Companywide Toggle if this file should be added to the Companywide accessible files list.
Field Toggle if this file is available within TRUE Field.
Category Categorization of the file.
Description Additional details about the file.

Assigned

Assign users to this file.

Display related records or add additional records to this file.

Additional Features

Envelope icon Send this file via email
Download icon Select to download file
Arrow icon Select to generate a share link for this file. Additionally utilize to generate a link to add file to user's signature block.

Company (Folders)

Organize files into desired folders. Edit, move, add, and upload files directly into folders.

Folder Management

  • To add a new folder: Click the "+" Icon and select New Folder. Enter the desired Folder Name and click OK.
  • To edit a folder name: Select the "Pencil" Icon on the desired folder.
  • To navigate within folders: Select the parent folder name in the upper left corner to go back to the parent folder.

Additional Folder and File Options

Move Relocate a file to another folder.
Edit Change the name of a file.
Favorite Mark a file as a favorite for quick access.
Record Access Limit user access to sensitive folders or files.
Delete  Permanently remove a folder or file (irreversible action).

Workflows

Adding Files

  1. Navigate to a record in TRUE and select the “Files” icon, or navigate to the Files module.
  2. Click the "+" Icon or UPLOAD FILE(S) button.
  3. Drag and drop files or click to select files from your device.

Managing File Versions

When marking up or modifying a file, TRUE automatically stores previous versions.

  1. Navigate to the Files module Classic View
  2. Perform a search or select the correct file.
  3. Select the Versions tab in the file detail view.
  4. Click the "+" Icon to add a new version.
  5. Choose to overwrite the existing file or create a new version.
  6. Set the desired version as primary using the "☰" Icon and selecting Set As Primary.

Batch File Operations

  1. In the list or grid view, select multiple files using the checkboxes.
  2. Choose the desired batch action from the top menu (DOWNLOAD, MOVE FILE, etc.).
  3. Confirm the action when prompted.

Enabling/Disabling TRUE Field Access

  1. Select one or more files in the list or grid view.
  2. Click either ENABLE TRUE FIELD or DISABLE TRUE FIELD from the batch action menu.
  3. Alternatively, click the hardhat icon next to individual files to toggle TRUE Field access.

Using the Markup Tool

  1. Select the desired file with an image to annotate or markup.
  2. Click the pencil icon in the upper right of the file record to launch the Markup Tool.
  3. Use the various edit options to annotate the image.
  4. Click Save to create a new version with the markups.

Managing Folders

  1. Navigate to the Company tab in the Files module.
  2. Create new folders or navigate existing folder structure as needed.
  3. Upload files directly to folders or move existing files between folders.
  4. Manage folder and file permissions using the Record Access feature.

Deleting Files

  1. Select the file(s) in the list or grid view.
  2. Click the DELETE button in the batch action menu.
  3. Confirm the deletion when prompted.
