Purpose

The Files module serves as the central repository for all documents, images, and files throughout TRUE ERP. Users can upload files from any module in the system, organize them into folders, mark up images and PDFs with annotations, enable files for mobile access in TRUE Field, and relate files to multiple records across different modules. The Files module provides both standalone access via the Quick Actions menu and contextual access from within individual records, making it easy to manage documentation whether working at a system-wide level or within specific Jobs, Contracts, or other records.

Note: Files can be accessed from two locations: the Files module in the Quick Actions menu shows all files across the system, while the Files icon within individual records (Jobs, Contracts, Leads, etc.) shows only files related to that specific record.


List View

View Options

Choose how files are displayed in the module

The Files module offers three view options for displaying files. Grid view shows visual thumbnails ideal for images, List view provides detailed file information in a compact format, and Classic view offers the traditional interface with advanced features like version management.

LIST Displays files in a compact list format showing key information like title, date, and category. Allows column sorting for easy organization.
GRID Shows files as thumbnails in a grid layout. Particularly useful for visual identification of image files and documents.
CLASSIC The older view with a traditional list layout. While still accessible, this view is no longer the primary interface but provides access to advanced features like version management.

Search Options

Find files by title, filename, or description

Search and sorting tools help you quickly locate files in the Files module. Use the search field to find files by title, filename, or description text, or click column headers in List view to sort by any field.

Search Enter text to search for files by title, file name, or description. Search is performed across all visible files.
Column Sorting Select any column header within the List view to sort files by that field (title, date, category, etc.).
Rows per page Choose the number of files to display per page for easier navigation through large file lists.

Upload files and perform batch operations

The Files module provides multiple ways to upload and manage files. Upload individual files or entire folders using the button bar, or select multiple files to perform batch operations like downloading, moving, or enabling TRUE Field access.

Upload Actions

Upload File(s) Click to select individual files from your device to upload, or drag and drop files directly onto this button.
Upload Folder Upload an entire folder containing multiple files while preserving the folder structure.
"+" Icon Add a new file or create a new folder in the current location.

Batch Actions

Checkbox Select multiple files by clicking the checkbox on each file. Once selected, batch action buttons appear.
DOWNLOAD Download all selected files to your device. Multiple files are downloaded as individual items.
MOVE FILE Relocate selected files to a different folder within the Files module.
ENABLE TRUE FIELD Make selected files available in the TRUE Field mobile app for field access.
DISABLE TRUE FIELD Remove selected files from TRUE Field app access.
DELETE Permanently remove selected files from the system. This action cannot be undone.

Individual File Actions

Cloud Icon Open the file in a new browser tab or window for quick viewing.
Share Icon Generate a shareable link for the file that can be sent to external users.
Hard Hat Icon Toggle TRUE Field access for an individual file without using batch actions.

Selected File View

View and edit file details, metadata, and related records

When a file is selected from the list or grid view, the Selected File section displays detailed information including the file preview (for supported types), metadata fields like title, description, date, and category, and options to mark up images or PDFs, download, share, or enable TRUE Field access. Users can also view and manage related records that the file is connected to across different modules.

File Information

Metadata and file properties

File metadata fields provide information about each file and control how it's accessed throughout TRUE. Edit the title, description, date, and category to make files easier to find, and use the toggle switches to control Company-wide access and TRUE Field availability.

Field Description
Title The title of the file, editable by the user. This is the primary name displayed in file lists and searches.
Description Additional details about the file. Use this field to provide context about the file's contents or purpose.
Date The date associated with the file, editable by the user. Can represent creation date, document date, or any relevant date.
Category Categorization of the file. Categories are customizable in the Categories module in the Settings menu.
Company Toggle to add this file to the Company-wide accessible files list. Enabled files appear in the Company storage area accessible to all authorized users.
Field Toggle to make this file available within the TRUE Field mobile app. Enabled files can be accessed by field users on mobile devices.

File Actions

Tools for working with selected files

The Selected File view provides several action buttons for working with individual files. These tools allow you to annotate images and PDFs, download files, generate sharing links, and switch to Classic view for advanced features.

Classic View Switch to the traditional Classic View interface to access advanced features like version management, assignments, and detailed file history.
Markup Launch the Markup tool to annotate and edit images or PDF files. Available for both images and PDF files.
Download Download the file to your local device.
Open Open the file in a new browser tab or window for viewing.
Share Generate a shareable link for the file. The link can be sent to external users who need access to the file.
Done Close the file detail view and return to the file list, saving any changes made to metadata fields.

Markup Tool

Annotate images and PDFs with drawings and text

The Markup Tool allows users to edit images and PDFs by adding annotations, text, arrows, or other markings directly in TRUE. When you save markups, TRUE automatically creates a new version of the file to preserve the original.

Tool Description
Color Choose from yellow, red, green, blue, black, or white for annotations and drawings.
Line Width Select the thickness of lines and drawings for better visibility.
Arrows Create lines with an arrow automatically added to the endpoint. Useful for pointing out specific areas.
Font Size Choose the desired font size for text annotations.
Add Text Enter desired text in the text field and click the Add button to place it on the image.
Add Circle Place a circle at the desired position on the image to highlight specific areas.
Rotate Rotate the image 90 degrees to the desired orientation.
Undo Undo the last markup or change made. Can be used multiple times to step backwards.
Clear Clear the last change or markup on the image.
Save Save the current image with all markups and changes as a new version. The original file is preserved.

Classic View

Advanced features and version management

Classic view provides a traditional list layout with detailed information for each file. While no longer the primary interface, Classic view offers access to advanced features like version management, user assignments, related records management, and the ability to send files via email or add them to email signatures.

Search & Filter Options

Search Enter text to search for files by title, file name, or description.
My Files Filter to show only files assigned to the current user.
Cabinet Filter to show all files assigned to the company cabinet.

File Information Fields

Title The title of the file, editable by the user.
Filename Display the file's actual filename as stored in the system.
Date The date associated with the file, editable by the user.
File Size Display the selected file's size in bytes, KB, or MB.
Companywide Toggle to add this file to the Company-wide accessible files list.
Field Toggle to make this file available within TRUE Field.
Category Categorization of the file.
Description Additional details about the file.

Advanced Features

Assigned Assign specific users to this file. Assigned users receive visibility to the file based on their permissions.
Related Display related records (Jobs, Contracts, Leads, etc.) that this file is connected to, or add additional record relationships.
Versions Tab Access the Versions tab to view all previous versions of a file, add new versions, set a specific version as primary, or restore older versions.
Envelope icon Send this file via email directly from TRUE.
Download icon Download the file to your local device.
Arrow icon Generate a share link for this file. Can also be used to generate a link to add the file to a user's email signature block.

Company Storage & Folders

Organize files into folder structures

The Company tab in the Files module allows users to organize files into folder structures. Create folders for different document types (Safety Data Sheets, Personnel Forms, Work Procedures, etc.) and manage access to sensitive folders using the Record Access feature.

Folder Management

"+" Icon Click the "+" icon and select New Folder to create a new folder. Enter the desired folder name and click OK.
"Pencil" Icon Click the pencil icon on a folder to edit the folder name.
Parent Folder Navigation Click the parent folder name in the upper left corner to navigate back to the parent folder level.

Folder & File Options

Move Relocate a file or folder to another folder location within the Company storage.
Edit Change the name of a file or folder.
Favorite Mark a file or folder as a favorite for quick access from the favorites list.
Record Access Limit user access to sensitive folders or files by specifying which users or groups can view the content.
Delete Permanently remove a folder or file. This is an irreversible action.

File Upload & Management

Yes, TRUE supports uploading entire folders with all their contents.

  4. All files within the folder will be uploaded while preserving the folder structure.

Files can be related to multiple records across different modules using the Classic View's Related feature.

  1. Open the Files module from the Quick Actions menu.

Files can be deleted individually or in batches. Note that file deletion is permanent and cannot be undone.

To delete a single file:

  2. Select the checkbox next to the file you want to delete.

  4. Confirm the deletion when prompted.

To delete multiple files:

  1. Select the checkboxes next to all files you want to delete.

Warning: Deleting a file permanently removes it from the system and all related records. This action cannot be undone.

Markup Tool

The Markup tool allows you to add annotations, arrows, text, and highlights to images and PDF files directly in TRUE.

  1. Navigate to the Files module and select an image or PDF file.
  2. Click the Markup button (pencil icon) in the upper right of the file viewer.
  3. Use the toolbar to select annotation tools (arrows, text, circles, lines).
  4. Choose your desired color and line width from the options.
  5. Click or draw on the image to add your annotations.
  6. Use Undo to remove the last change, or Clear to remove all markups.
  7. Click Save to create a new version of the file with your markups.

Tip: When you save markups, TRUE automatically creates a new version of the file and preserves the original unmarked version in the file's version history.

The Markup tool is available for image files (JPG, PNG, etc.) and PDF documents. The Markup button will only appear when viewing supported file types. Other file types like Word documents, Excel spreadsheets, or text files cannot be marked up directly in TRUE.

Yes, TRUE preserves the original unmarked version when you save markups. You can access previous versions through Classic View.

TRUE Field Access

Files can be enabled for TRUE Field access individually or in batches, making them available to field users on mobile devices.

For individual files:

  1. Navigate to the Files module.
  2. Find the file you want to enable.
  3. Click the hard hat icon next to the file to toggle TRUE Field access on.
  4. The file will now be available in TRUE Field when field users access the related record.

For multiple files (batch operation):

  1. Select the checkboxes next to all files you want to enable.
  2. Click the ENABLE TRUE FIELD button at the top.
  3. All selected files will be enabled for TRUE Field access.

Tip: You can also enable TRUE Field access from within a file by toggling the Field switch in the file's metadata section.

To remove files from TRUE Field access, use the same process as enabling but with the disable option.

  1. Navigate to the Files module.
  2. Select the checkboxes next to the files you want to remove from TRUE Field.
  3. Click the DISABLE TRUE FIELD button.
  4. The files will no longer be available in the TRUE Field mobile app.

Alternatively, click the hard hat icon next to an individual file to toggle TRUE Field access off, or toggle the Field switch off in the file's metadata section.

When a file is enabled for TRUE Field, it becomes available in the TRUE Field mobile app for users working on-site. Field users can view the file when they access records (Jobs, Contracts, etc.) that the file is related to. This is particularly useful for sharing plans, specifications, safety documents, or reference materials with field teams. The file remains in TRUE's cloud storage and is streamed to mobile devices when accessed.

Folder Organization

Folders help organize files into logical groups within the Company storage area.

  1. Navigate to the Files module from the Quick Actions menu.
  2. Click the Company tab to access Company storage.
  3. Click the "+" icon and select New Folder.
  4. Enter the folder name (e.g., "Safety Data Sheets", "Personnel Forms", "Work Procedures").
  5. Click OK to create the folder.
  6. Upload files directly to the folder or move existing files into it using the Move option.

Files can be moved between folders individually or in batches.

To move a single file:

File Versions

TRUE automatically tracks file versions when you make changes or use the Markup tool. Access previous versions through Classic View.

  1. Navigate to the Files module and select the file.
  2. Click Classic View to switch to the advanced interface.
  3. Click the Versions tab in the file detail view.
  4. You'll see a list of all versions with timestamps showing when each was created.
  5. Click on any version to view or download it.

New versions can be added manually through Classic View to replace or update an existing file while preserving the history.

Sharing & Permissions

Generate a shareable link that can be sent to external users who don't have TRUE access.

  1. Navigate to the Files module and select the file.
  2. Click the Share icon (arrow icon) in the file viewer.
  3. TRUE will generate a unique shareable link for the file.
  4. Copy the link and send it via email or other communication methods.

Recipients can view the file by clicking the link without needing to log in to TRUE. The link remains active as long as the file exists in the system.

Yes, files like company logos or certification badges can be linked in email signatures through Classic View.

  1. Open the file in Classic View.
  2. Click the arrow icon at the top of the file details.
  3. Select the option to generate a signature link.
  4. Copy the generated link and paste it into your email signature settings.

Files can be sent via email directly from Classic View without downloading them first.

Configuration & Administration

Access to the Files module is controlled by the Module Access (Files) permission.

To grant access:

  4. Find Module Access (Files) in the permissions list.
  5. Enable the permission to allow the user to access the Files module via the Quick Actions menu.

Note: Even if a user doesn't have module access, they can still view files within records (Jobs, Contracts, etc.) they have access to through the Files icon on those records.

File deletion requires the Delete Files security permission.

The Alert when Files are Uploaded permission sends notifications when files are uploaded to Jobs or Contracts you're assigned to.

  4. Find Alert when Files are Uploaded in the alerts permissions list.
  5. Enable this permission to receive alert notifications.

When enabled, you'll receive an alert notification whenever a file is uploaded to a Job or Contract you're assigned to, helping you stay informed about new documentation without manually checking for updates.

Yes, the Restrict Search Results to Authorized Modules Only (Files) permission limits search results to only show files from modules the user has access to. When enabled, users will only see files from records in modules they're authorized to access. For example, if a user doesn't have access to the Contracts module, they won't see files from Contract records in their search results, even if they have general Files module access. This helps maintain data security by preventing users from discovering files related to modules they shouldn't have visibility to.
