Purpose

The Messages Module allows users to send and receive text messages to customers and internal employees directly from within TRUE and create message threads with groups of users, allowing for collaboration on specific topics.
 


Messages Module

List View  Upon navigating to the Messages module, a list of "assigned" message threads will appear.   
Company Phone Number  The configured "Company" phone number can be found on the top right of the Messages Module.  
Search Bar  Use the search bar to perform a query for a specific phone number.  
Filter:   The filter button allows the user to sort the threads in specific ways.  
All View "All" Message threads, ignoring the "assigned" filter. This will display every current "active" messaging thread.  

My Messages View "Assigned" Message threads. This will only display threads currently assigned to your user account.

Recent View all messages that have been sent or received in the last 24 hours.   

Archived  Display all "Archived" Message threads.  

Plus Icon Select to create a new, unrelated message thread.

 

 

↻ Icon Click to ↻ the current list of data with any newly received or sent messages.

 

 


Selected Message Thread

Click a thread to review the current text message correspondence. Additionally, it allows users to follow up with additional texts, or review related records or assigned users.

  Paperclip Icon Select this to attach an image to the message.
  Text Field Click in this field to enter the outbound message.
  Send button Click this button to send the text the user has entered.
  Message Thread Settings/Assigned/Related: Thread Settings/Assigned/Related - Select the "Pencil" icon to navigate to the selected message settings. Here, you can add or review related records, and users, or manually adjust the "Topic".
 

Topic This will display the Thread's specific topic. This field will display in the text from the "Messages" list view.
 

SMS (Phone) This will display the currently linked SMS phone number.
 

Assigned This will display all "assigned" users.
 

Related This will display all related records.
 

Note: By default, relationships will be added to a Thread when the "Notify Client" feature is used.

 

Commonly Asked Questions

How to Setup Messages?

Users can first request access to the "Messages" module via: 

  1. Their subscription module by clicking the question mark icon, navigating to           "Setup/Subscription," and  Selecting "Manage My Subscription" 
  2. Emailing support@constructtrue.com requesting "Messages" access. 
  3. Once activated by our team, navigate to "Company Preferences" and locate the "Messages" section. 
  4. Click the blue "Configure" button. 
  5. Enter business information and submit. 
  6. After submitting, the processing time can be up to a couple of weeks for the customized changes to activate. 

    Note: Due to recent changes in the new A2P 10DLC regulation, that allows software to utilize peer-to-peer messaging, company information is now required to be submitted. 

     

How to Auto-Assign Inbound Messages?

When setting up the Messages Module, users can choose to have usernames automatically assigned to inbound message threads unrelated to any projects.

  1. From the settings menu, navigate to Company Preferences, and scroll to the Messages section.  
  2. In the first textbox, Usernames can be entered as a list. 
    1. The names must be an exact text match to their user account.  
    2. Ensure that there are no extra spaces before or after each name and that every separate name is entered on a new line (using the "Enter" (Windows) or "Return" (Mac) keys for each new user)  
  3. Users on this list will automatically receive a badge notification that there is a new message if sent directly to the "Company Phone" number. 

    Tip: Add users to this list if you want to automatically be notified of any external messages sent to your company phone number.

     

How to Use Notify Client?

With the introduction of the "Messages" module, the "Notify Client" feature can now be used to facilitate and maintain outbound client communication via text. Once the messaging module has been configured, upon selecting "Notify Client", select the "Text" option to create a new Thread.

  1. Navigate to a "Quote"/"Job" or "Work Ticket" record. 
  2. Select the "Notify Client" option.
  3. Enter your message, or click the "Message" field to load a template.
  4. Click “Send”

    Note: The "Notify Client - Text" feature templates can be modified within the "Categories" module. ("⚙️" icon > Categories).

     

What Are Internal Threads?

While this will be commonly used for outbound messages via the "Notify Client" feature, the messages module can also be used for internal communication. 

  1. Navigate to the Messages module.
  2. Select the "+" icon.
  3. Click the "Unrelated" option.
  4. Select the "pencil" icon in the new thread and locate the "Assigned" section.
  5. Use the "+" icon to add all the additional internal users that need to be added to this Thread.
  6. Once added, users will receive a red badge update with the number of unread messages anytime there is an unread message to review
