Purpose

The Passwords module allows users to save common company passwords and login information for items such as Wifi, QuickBooks, etc. Users can create, edit, and delete saved information in TRUE, and set record access for individual users for security purposes.

To access the Passwords module, select the lightning bolt icon at the top of the page and click on "Passwords".


Passwords List View

Search & Filter

  • Search field: Allows searching for specific password records
  • "Archived" Button: Toggles display of archived password records

Additional Features

  • "+" Button: Adds a new password record

Selected Password

Details Section

  • Description: Name or brief description of the password entry
  • Username: Associated username for the account
  • Password: The actual password for the account
  • Website: URL of the associated website (includes a globe icon to open the link)
  • Other: Additional field for any extra information
  • Archive: Checkbox to archive the password record

Remarks Section

  • Text field for additional, optional remarks

Features and Usage

Adding Passwords

  1. Click the green "+" icon next to the search bar
  2. A new blank record will be created
  3. Fill in the desired information in the Details fields

Edit Details

  1. Select a password record from the list
  2. Modify the information in the Details section
  3. For websites, use the globe icon to open the URL in a new window

Manage Record Access

  1. Find the desired password record
  2. Select the "☰" icon and choose "Record Access"
  3. In the user list, click the green lock icon next to a user's name to deny access
  4. The lock will turn red; click the green Confirm button to save changes

Note: By default, users with module access can see newly created records.

Archive Passwords

  1. Select the password record
  2. Check the "Archive" box
  3. Archived records can be viewed by clicking the "Archived" filter next to the search bar

Delete Passwords

  1. Click the "☰" icon next to the password record
  2. Select "Delete"

Note: This action is irreversible. It is advised to archive records instead of deleting them.
