Purpose
The integrated Time Clock in TRUE and TRUE Time allows users to clock in and out of jobs, contracts, divisions, work tickets, or facilities. It enables accurate timekeeping, tracks payroll activities, monitors travel between jobs, and manages unpaid breaks. The system pushes time punch data to the Time Card and Time Review modules for payroll processing. Whether accessed from the desktop application or mobile device, the Time Clock ensures precise labor tracking across all cost centers.
Tip: Attempting to track time against specific projects for field operations or measurements? Use the "Schedules" workflow in TRUE Time instead of the general Time Clock feature for better tracking and reporting.

Clocking In
Standard and location-based clock-in procedures
The standard clock-in process for starting a work session.
- Enter your four-digit PIN (assigned in the Personnel module)
- Select the green Go button
- Allow location services if prompted for GPS data
- Choose the appropriate cost center option (e.g., Quotes / Jobs)
- Select the specific record to punch into (e.g., Job ID and name)
- Confirm the punch on the confirmation screen
When near a cost center address (e.g., job site), the system may suggest clock-in options.
- Respond to the "Based on your location..." prompt
- Select Yes for a suggested cost center
- Or select No to choose manually from the full list
Note: Location-based suggestions are only available within TRUE desktop, not TRUE Time mobile app.

Clocking Out
End shift and activity selection procedures
The standard clock-out process for ending work on a cost center.
- Enter your four-digit PIN
- Enter punch notes if required
- Choose the appropriate payroll Activity for the punch duration
- Respond to "Is your shift done now?"
- Yes ends your shift completely
- No offers options for unpaid break, travel, or clocking into another job

- Select Travel when clocking out of a job
- Travel time begins recording
- When arriving at the next location, enter your PIN
- Choose the relevant cost center and payroll activity

Setup & PIN Management
Time Clock PINs are assigned in the Personnel module by system administrators.
- Contact your system administrator or HR manager
- They will navigate to HR → Personnel
- Select your Personnel record
- Assign a 4-digit PIN in the Time Clock section
- You will be notified of your assigned PIN
PIN changes must be made by a system administrator through the Personnel module.
- Contact your system administrator
- Request a PIN change
- The administrator will update your PIN in the Personnel module
Note: PINs should be kept confidential. If you believe your PIN has been compromised, request a change immediately.
Payroll activities are predefined options for categorizing time worked. They help allocate labor costs to the correct categories for reporting and payroll processing.
Common Activity Types:
- Regular Time: Standard hourly work
- Overtime: Hours exceeding regular work schedule
- Travel: Time spent traveling between job sites
- Training: Time spent in training activities
- Meeting: Time spent in meetings or administrative activities
Payroll activities are configured in the Activities module in Settings by your system administrator.
Common Issues
If you forget to clock in or out, a manager can add or adjust time entries in the Time Review module.
- Notify your supervisor or manager immediately
- Provide the correct times for clock-in and clock-out
- The manager will navigate to HR → Time Review
- They can add a new punch or modify an existing punch
- The correction will appear on your time card
Tip: Report missed punches as soon as possible while the details are fresh. Include notes about the work performed.
Time entries can only be edited by users with appropriate permissions in the Time Review module.
- Employees: Cannot edit their own punches directly - must request correction from a manager
- Managers: Can edit punches in Time Review for their team members
- Administrators: Can edit any punch and configure editing permissions
All edits are logged in the system history for audit purposes.
You can view your hours through TRUE Time or the Time Card module.
- Open the TRUE Time app

- The Weekly Summary screen displays your total hours
- Tap on any day to see detailed punches
- Navigate to HR → Time Card
- Select your name from the Personnel list

Travel & Breaks
Travel time is tracked as a separate punch type between job site clock-outs and clock-ins.
- When leaving a job site, clock out and select Travel
- Travel time begins recording immediately
- When arriving at the next location, clock in to the new job
- Travel time automatically ends and work time begins
Travel time appears as a separate line item in Time Review, allowing managers to review and adjust if needed. GPS coordinates may be captured at clock-in/out points for verification.
Break handling depends on your company's policies and system configuration.
Unpaid Breaks:
- Select Break when clocking out
- The system records the break as unpaid time
- Clock back in when the break ends
Paid Breaks:
- Continue working without clocking out
- Short paid breaks do not require separate punches
Note: Check with your manager about company policy for break recording. Some companies configure automatic unpaid break deductions in payroll processing.
Configuration & Administration
Access to the Time Card module is controlled by user permissions. If you cannot see or access this module:
- Contact your system administrator
- Request the Time Card permission (ID #1462)
- Once granted, you'll find the module in HR → Time Card
Note: Administrators can manage permissions in Settings → Users / Access → select user → Access tab.
Managers can receive alerts when employees have time clock punches that were started but not completed from the previous day.
- Navigate to Settings → Users / Access
- Select the manager who should receive alerts
- Go to the Access tab
- Find the Time Review section
- Enable Alert for Unfinished Time Clock Punches (ID #239)
Tip: This alert is typically used by HR managers to catch missing clock-outs at the start of each day.
A kiosk allows employees to clock in/out from a dedicated device at a facility location.
- Set up a dedicated tablet or computer at the facility
- Navigate to Settings → Company Preferences
- Configure the device as a connected device
- Assign the facility to the connected device (requires permission ID #231)
- The device GPS location will be used for all punches from that kiosk
Note: This is useful for kiosks without GPS receivers. The facility location is used to identify the GPS location of punches.
