Purpose
This guide walks you through creating new users in TRUE. Every TRUE user requires a licensed seat on your subscription. If you already have available seats, you can create users immediately. If not, you'll need to add seats first — either through the in-app subscription manager or by contacting TRUE Support.
Before You Begin
Every TRUE user occupies a licensed seat on your subscription. Before creating a new user, confirm whether you have an available seat:
- If you already have available seats — skip ahead to Creating a New User below
- If you need to add seats — expand the section below to add them first, then proceed to creating the user
There are two ways to add seats to your TRUE subscription:
- Click the ? icon in the top right corner of TRUE
- Select Manage Subscription
- Locate the Additional Users section
- In the NEW column, update the user count to reflect the seats you want to add
- Click Adjust Subscription to confirm the change
Tip: You can add TRUE Full seats, TRUE Limited seats, Calendar seats, and more through subscription management.
If you prefer, our support team can adjust your subscription for you.
- Click the ? icon in the top right corner of TRUE
- Select Contact Support to submit a request
- Let us know how many seats and what type you need (TRUE Full, TRUE Limited, Calendar, etc.)
Creating a New User
Once you have an available seat, follow these steps to create and activate a new user:
- Click the Gear Icon in the top right corner of TRUE
- Click Users / Access (Requires Access ID 63)
- Click the + icon to create a new user
- Enter the account name and password (First and Last Name recommended)
- Click Submit to save
- With the new user selected, switch to the Access mode on the right-hand side of the screen
- Locate the User Access Type section
- Select the TRUE checkbox to assign the seat
Note: The user will not consume a license seat until the TRUE checkbox is selected in the User Access Type section.
Mobile App Setup
If your account has TRUE Field enabled, all new users automatically gain TRUE Field access. Just create the user account — no additional steps required.
- Click the Gear Icon in the top right corner of TRUE
- Click Users / Access (Requires Access ID 63)
- Click the + icon to create a new user
- Enter the account name and password (First and Last Name recommended)
- Click Submit to save
Important: The Client ID is found in the TRUE web application, not in the mobile app.
- Log into TRUE on a web browser (not the mobile app)
- Click the Gear Icon in the top right corner
- Select System Information
- Your TRUE Client ID is displayed on this screen
Provide each TRUE Field user with:
- Username — The account name created in Users/Access
- Password — The password set for the user account
- Client ID — Your company's unique identifier (same for all users)
Users enter these three pieces of information on the TRUE Field app login screen.
Navigate to Gear icon > Users/Access, select the user, and click the pencil icon in the User field. The account name and credentials are displayed here.
A user who does not have access to the Users/Access module can still update their own password information through Gear icon > User Preferences.
TRUE Time users require both a User account and a linked Personnel record with a Time Clock PIN enabled.
- Click the Gear Icon in the top right corner
- Select Users / Access
- Click the + icon to create a new user
- Enter the employee's name and email
- Save the record
- Click the Hamburger Menu (three lines) in the top left corner
- Select the HR workflow
- Select the Personnel module
- Click the + icon to create a new record (or select existing)
- Go to the Details mode
- In the User field, select the User account created above
- Enter a unique 4-digit Time Clock PIN
- Select the Time Clock checkbox to enable time tracking
Important: The Client ID is found in the TRUE web application, not in the mobile app.
- Log into TRUE on a web browser (not the mobile app)
- Click the Gear Icon in the top right corner
- Select System Information
- Your TRUE Client ID is displayed on this screen
Provide each TRUE Time user with:
- Time Clock PIN — The 4-digit PIN set in their Personnel record
- Client ID — Your company's unique identifier (same for all users)
Users enter these two pieces of information on the TRUE Time app login screen.
