TRUE Fence - Estimating Application

Purpose

The TRUE Fence module is a specialized estimating application designed exclusively for fence contractors. Create site layouts with TRUE Draw, assign catalog products, generate material lists, and produce digital proposals with eSign capabilities. Data flows directly into the Quotes module for job conversion.

Important: TRUE Fence is industry-specific. Fence contractors may use it multiple times daily for on-site estimating, while glass contractors and other trades would never access it.


TRUE Fence Dashboard

Optional Hub for Managing Projects and Schedules

The TRUE Fence Dashboard is an optional centralized hub that can serve as your primary interface for managing fence projects and schedules. It provides quick access to Quotes, Jobs, and scheduling features without navigating through the main TRUE modules. This dashboard contains two main modules: Schedules and Projects.

Dashboard Modules

The Schedules module displays your current, future, and past schedules and allows you to create optimized routes for appointments.

Routes Opens the Route feature for creating optimal travel paths between appointments

The Projects module contains all your existing Quotes and Jobs. Click a record to view details and access TRUE Fence estimating features.

Core Modules

Primary TRUE Fence Interface Components

While TRUE Fence has an optional built-in dashboard, the core estimating functions are accessed from the Quotes, Bids, or Jobs modules in TRUE. After opening TRUE Fence from a record, you'll interact with five primary modules: Information, Selections, Files, and settings accessed via the Gear Icon (Preferences) and Alert Icon.

Accessing TRUE Fence

TRUE Fence is accessed from existing Quote, Bid, or Job records for record-specific estimating work.

  1. Navigate to Quotes, Bids, or Jobs module
  2. Select a record or create a new one
  3. Click the Options button
  4. Select Optional App (this button can be renamed by your administrator)
  5. If this is a new record, TRUE Draw opens automatically. If the record has existing data, you'll see the Information module

Note: The "Optional App" button name can be customized by your administrator. If you don't see this button, contact your system administrator to configure TRUE Fence access.

Primary Modules

The Information module displays all relevant customer and project details synchronized from the main TRUE system.

  • Client Information: Company name, contact details, billing address
  • Point of Contact: Primary contact person for the project
  • Job Site Address: Project location with integrated map display
  • Project Details: Description, attributes, and special instructions
  • TRUE Sync: Information syncs with main TRUE system for data consistency

Use the Details button within this module to review or update client information, contact details, job site address, and project-specific details.

The Selections module is where you assign products to drawing segments, manage material lists, apply pricing adjustments, and generate proposals. This is the primary workspace for building accurate estimates.

ITEMS Displays selection line items (products assigned to the estimate)
LF Displays Linear Footage for the selected item
LF PRICE Displays the price per Linear Foot (if Show LF Pricing is enabled in Preferences)
QTY Displays the total quantity of the selected line item. Click to modify quantity
+/- ICON Displays the Adjustment percentage. Allows users to apply pricing adjustments to individual or multiple line items. TRUE automatically updates markup or margin accordingly
PRICE Displays the calculated sell price per unit based on cost and quantity
TOTAL Displays the calculated total for the selected line item using quantity, cost, and any adjustments
Feature Description
+ Icon Add line items to your proposal. Options: Manual (custom line item with manual pricing) or Catalog (select from configured catalog products)
Refresh Icon Refresh the current list. Required when using unscaled drawing (V3) to display newly added selection items
Gear Icon Access advanced options: Reset, Combine Items, Batch Material/Labor, Remove Labor, Duplicate, Delete
Proposal Button Access drawing tools and proposal selector. Create new drawings or open existing ones

Reset Reset the current proposal to remove all combinations, product selections, and data. Returns to blank state

Batch Material/Labor Automatically group all Material or Labor line items together for cleaner proposal presentation
Remove Labor Automatically remove all labor line items from the current proposal
Duplicate Create a new proposal using the current selected proposal. Copies all line items and associated drawing
Delete Permanently delete the selected proposal. This action cannot be undone

When you select a line item in the Selections list, additional options become available:

Combine Similar Components Consolidate matching components within a single assembly product for cleaner material lists
Add Component Manually add a Catalog product as a component to the selected selection item
Manual / Auto Pricing Toggle between Manual pricing (custom price entry) and Automatic pricing (uses saved catalog pricing)
Select Catalog Replace the selected item with a different Catalog product. Components are not replaced
Delete Permanently delete the selected line item from the proposal
Swap Options Available if the product has Options configured in the catalog. Allows swapping between product variations (upgrades, alternatives)

TRUE Draw is the drawing tool for creating detailed site layouts. Access drawings from the Selections module via the Proposal button. TRUE Draw comes in two versions optimized for different use cases.

Automatically calculates measurements based on your drawing with adjustable scale on a grid layout.

The Files module serves as a repository for all project-related files. Any drawings created in TRUE Draw are automatically saved here.

  • Documents: Contracts, specifications, and related project files
  • Auto-Save: TRUE Draw creations automatically stored with timestamps

The Preferences module allows users to modify default settings for the TRUE Fence application. Access by clicking the gear icon (⚙️) in the top right corner.

Use Unscaled Drawing Opens the Unscaled Drawing (V3) by default when "New Drawing" is selected. Uncheck to default to V2 (scaled)
Map Type Set the default type of map that the Google Satellite image pulls (roadmap, satellite, hybrid, terrain)
Map Zoom Level Set the zoom level for the Google Satellite image (1-22, where higher numbers are closer)
Map Height Set the height dimensions (in pixels) for the Google Satellite image
Map Width Set the width dimensions (in pixels) for the Google Satellite image
Use Description as Display Uses the product's Description field instead of auto-generated display name. This overrides "Use User Friendly Display" option
Use User Friendly Display Shows simplified product names. Example: "6' x 6' White Privacy Vinyl Fencing" instead of "Vinyl | Privacy | White | Fencing | L:6 | H:6"

Product Catalog

The Backbone of TRUE Fence Estimating Power

The Product Catalog is the most critical component of TRUE Fence's estimating functionality. A properly configured catalog enables accurate material breakdowns, consistent pricing, inventory integration, purchasing efficiency, and work ticket generation. This section provides comprehensive guidance on catalog structure, setup methods, and best practices.

Important: The catalog is system-wide, not record-specific. Changes to catalog products affect all Quotes, Bids, and Jobs using those products. Catalog setup can be complex—invest time in proper configuration for long-term accuracy and efficiency.

Accessing the Catalog

The Catalog is system-wide and accessible from TRUE Fence settings, regardless of which record you're working in.

  1. Open TRUE Fence from any Quote, Bid, or Job
  2. Click the Gear Icon (⚙️) in the top right corner
  3. Select Catalog from the menu
  4. The Catalog opens in Table view or Classic view based on your preferences

Catalog Structure

Each product in the catalog has multiple modes containing different types of information. Understanding these modes is essential for proper catalog configuration.

Contains basic product information and categorization.

Description/Notes Description of the selected product record. Can include details such as style, material type, or dimensions. Users manually enter description data
Style Enter the style of fence specific to this product (Privacy, Picket, Ranch Rail, etc.)
Category Hardcoded field that TRUE uses to categorize products. Options: Cap, Fencing, Hardware, Post, Gate, Double Gate, Specialty Gate, Tear-Out, Service, Other
Material Type Define the material type of the product record (Vinyl, Wood, Chain Link, Aluminum, etc.). Users can add additional options via Preferences
Color Product color specification

Note: Category is critical for material list generation. "Fencing" is the primary product when configuring assemblies. Fence materials like pickets and rails typically fall under "Other".

Contains cost and selling price data for the product. Enter unit cost, markup/margin, and sell price here.

The most important mode for TRUE Fence functionality. This is where you build assemblies by relating component products to create automatic material lists. Add components, set quantities, and configure component relationships here.

Contains additional product details and images for sales presentations. Add product photos, extended descriptions, and sales information here.

Define product variations and upgrades. When configured, users can "swap options" to replace or upgrade line items in the Selections module. Useful for offering color variations or upgrade packages.

Understanding product categories is essential for proper catalog configuration and automatic material list generation. Each category serves a specific purpose in the estimating workflow.

Other Captures anything outside the scope of other options. Fence materials associated with the build of a fence (pickets, rails, bottom rail, top rail) typically fall under "Other"
Tear-Out Used to represent "Tear-Out" service, typically for pricing of removal labor
Service Used to represent another type of service you offer, non-material based product record (delivery, installation, consultation)

Getting Started with TRUE Fence

  5. Your default drawing application (V2 or V3) opens automatically
  6. Use drawing tools: Fence tool for fence lines, Gate tool for gates, Objects tool for structures

  8. Click Save when complete

Product Selection & Pricing

TRUE Fence automatically generates Selection Items based on your drawing. You then assign products to these items using the Choose Product workflow.

How Selection Items are Generated:

When you create a drawing in TRUE Draw, the system automatically generates Selection Items based on the drawing elements. Each fence line becomes a fencing selection item, each gate becomes a gate selection item. Items are grouped by their assigned "Group"—if two fence lines share Group A and one has Group B, the Group A lines combine into a single selection item while Group B appears separately.

Assigning Products to Selection Items:

  1. Create your drawing in TRUE Draw with fence lines and gates
  2. Navigate to the Selections module
  3. Selection Items automatically appear for each drawing element
  4. Click on a Selection Item to select it
  5. Click the Choose Product button
  6. Product filter opens—click through category options to filter products
  7. Click Search button to display matching products
  8. Further filter if needed, then click on the desired product in the list
  9. Product is assigned to the selection item with automatic component breakdown

How Grouping Works: If you have three fence lines in your drawing—two assigned to Group A and one assigned to Group B—TRUE Fence creates two selection items: one for the combined Group A lines and one for Group B. This allows you to assign different products to different sections of the fence.

When to Use:

The + icon is typically used to add additional line items beyond what's in your drawing—such as add-on products, accessories, or service charges. In Material Sales mode (a preference setting), the + icon becomes the primary method as users skip the drawing application entirely and go straight to Selections.

Add from Catalog:

  1. Open TRUE Fence Selections module
  2. Click the + icon
  3. Select Catalog
  4. Search for and select the product
  5. Product appears as a new line item
  6. If using unscaled drawing (V3), click Refresh icon to display

Add Manual Line Items:

  1. Click the + icon
  2. Select Manual
  3. Enter product description
  4. Enter quantity and pricing manually
  5. Manual items do not generate component breakdowns

Important: The standard workflow creates a drawing first, which automatically generates selection items. You then use the Choose Product button for each selection item. The + icon is for adding additional products not represented in the drawing, or for Material Sales mode where no drawing is created.

Apply percentage-based pricing adjustments to individual items or multiple items at once.

  1. Click on the line item in Selections module
  2. Click the +/- adjustment icon for that item
  3. Enter percentage (positive for markup, negative for discount)
  4. TRUE automatically updates markup or margin accordingly
  1. Use checkboxes on the left to select multiple line items

Tip: Use positive percentages for markup (e.g., +15%) and negative percentages for discounts (e.g., -10%). TRUE automatically recalculates margin and markup relationships.

Clean up your material list by combining matching items that appear multiple times.

Note: This is different from "Combine Similar Components" which consolidates components within an assembly. "Combine Items" consolidates top-level line items across your entire selection.

How to Toggle:

  1. Click on the line item
  2. Click the item's gear icon
  3. Select Manual / Auto Pricing
  4. Toggle switches pricing mode for that item only

Catalog Setup & Management

There are several approaches to catalog setup, each suited for different scenarios and catalog sizes.

Best For: Smaller catalogs or individual product additions

  1. Navigate to TRUE Fence Catalog
  2. Click + icon to add new product
  3. Fill in all fields in Details mode (Description, Style, Category, Material Type, Color)
  4. Enter pricing in Pricing mode
  5. Repeat for all component products
  6. Navigate back to main assembly product
  7. Click Components mode
  8. Click + icon to add components
  9. Select component products and enter quantities

Best For: Bulk updates or initial large-scale setup with existing product data

Product Import Steps:

  1. Open TRUE Fence Catalog
  2. Click Gear Icon (⚙️) within Catalog
  3. Select Product Export to export current catalog
  4. Modify the exported CSV file with your product data
  5. Use Product Import feature to upload modified CSV
  6. System creates or updates products based on CSV data

Component Relationship Import Steps:

  1. Export component data using Component Export CSV
  2. Modify CSV to define component relationships
  3. Use "1st Component" field to copy/paste unique product keys
  4. Enter quantity in "1st Quantity" field
  5. Repeat for additional components using "2nd Component", "3rd Component" columns
  6. Import modified file using Component Import feature

Best For: Quickly creating multiple variations of a product

  1. Set up one complete product assembly manually
  2. Manually create or import all component products
  3. Setup component relationships via Components mode
  4. Ensure product data has accurate details and components
  5. Locate the product in the catalog list
  6. Click the Hamburger Icon (≡)
  7. Select Advanced Duplicate
  8. Enter different colors, styles, heights, or widths (one per line with no spaces)
  9. System creates new assemblies with all components for each variation

Tip: Advanced Duplicate is powerful for fence products. Create one "6' White Vinyl Privacy Fence" assembly completely, then duplicate for Black, Tan, and other colors without rebuilding component relationships.

Building assemblies is critical for automatic material list generation. This connects parent products (like fencing panels) to their components (like pickets, rails, posts).

Step 1: Create Component Products

  1. Create individual products for each component (pickets, rails, posts, hardware)
  2. Set appropriate Category for each (Post, Hardware, Other)
  3. Enter pricing for each component
  4. Save each component product

Step 2: Create Main Assembly Product

  1. Create new product (this will be the "Fencing" panel)
  2. Set Category to "Fencing"
  3. Enter all details in Details mode
  4. Enter pricing in Pricing mode
  5. Save the assembly product

Step 3: Link Components to Assembly

  1. Select the main assembly product
  2. Click Components mode
  3. Click + icon or Build Components (≡ menu)
  4. Search for and select first component product
  5. Enter Quantity (how many of this component per assembly unit)
  6. Repeat for all components
  7. Save the assembly

Example: A 6' Privacy Fence Panel assembly might include: 16 pickets, 3 rails, hardware package. When you select this assembly in Selections, TRUE Fence automatically generates line items for all components with correct quantities.

The Post Type field enables TRUE Fence to automatically calculate line posts, corner posts, and end posts for fencing assemblies.

How Post Calculation Works:

  • System automatically calculates post quantities based on fence lines drawn
  • Line posts: Every X feet along straight runs
  • Corner posts: Where fence lines change direction
  • End posts: At fence line terminuses

Setting Post Types:

  1. Create three separate post products (Line Post, Corner Post, End Post)
  2. Set each product's Category to "Post"
  3. In Details mode, assign the Post Type field
  4. Link all three post types as components to your fencing assembly
  5. System references Post Type to assign calculated quantities correctly

Tip: If you don't assign Post Type, TRUE Fence may not calculate post quantities correctly. This field tells the system which post to use for each calculated position.

Component Pull controls how sub-components are included in estimates. This advanced feature fine-tunes material list accuracy for complex assemblies.

Use Case:

When you have nested assemblies (an assembly that contains another assembly as a component), Component Pull determines whether to show the sub-assembly as one line item or break it down into its individual components.

How to Configure Component Pull:

  1. Select the product in the Catalog
  2. Click Components mode
  3. Locate the component that is itself an assembly
  4. Configure the Component Pull setting
  5. Setting determines breakdown level in Selections module

Example: A gate assembly might include a "hardware kit" that's itself an assembly of screws, hinges, and latches. Component Pull controls whether the material list shows "1 Hardware Kit" or breaks it down to "8 screws, 2 hinges, 1 latch".

The "Included" feature allows you to mark components as included in the assembly price, which affects pricing calculations.

  1. Select the assembly product in the Catalog
  2. Click Components mode
  3. Click the Price field for a component
  4. Mark the component as Included
  5. Component quantity appears on material list

  2. Click Gear Icon (⚙️) within Catalog
  3. Locate Manager List field
  4. Enter exact usernames of authorized users (one per line)
  5. Username must match exactly (case-sensitive)
  6. Only listed users can access Catalog

Important: Catalog changes affect all Quotes, Bids, and Jobs. Limit access to trusted administrators who understand pricing implications.

Follow these best practices to maintain an accurate, efficient product catalog.

Naming Conventions:

  • Use consistent naming for easy searching and sorting
  • Include key attributes in product names (color, height, style)
  • Example: "Vinyl Privacy Fence 6' White" vs "Fence123"
  • Standardize abbreviations across all products

Regular Maintenance:

  • Update pricing regularly to reflect vendor changes
  • Use batch select and Markup/Margin features for bulk updates
  • Use product exports to backup catalog data
  • Review and archive discontinued products

Organization:

  • Use Categories and Material Types properly for efficient filtering
  • Set up component relationships completely before using in quotes
  • Test new assemblies in a practice quote before using with clients
  • Document complex assemblies for team reference

Pro Tip: Create a "Template Assembly" for each major product category. Use Advanced Duplicate to quickly generate variations rather than rebuilding component relationships repeatedly.

Generate professional proposals with embedded drawings, pricing, and eSign capabilities directly from TRUE Fence.

  1. Ensure your drawing is complete and saved
  2. Add products to your estimate in Selections module
  3. Review pricing and apply any adjustments
  4. Verify material quantities for accuracy
  5. Include any additional add-ons or charges
  6. Click the eForm button
  7. System automatically pushes products and pricing to Quotes module
  8. System generates default eForm with embedded drawing
  9. Review the proposal for accuracy
  10. Click Email to send to client or Download for offline use

Note: TRUE Fence automatically attaches the selection drawing to the eForm. Clients receive a complete proposal with pricing and visual site layout.

Enable digital signatures so clients can review and sign proposals directly from email or text message.

  1. Generate eForm as described above
  2. Click Email button
  3. Check the eSign checkbox in email dialog
  4. Enter client email address
  5. Add custom message if desired
  6. Click Send
  7. Client receives email with link to proposal
  8. Client can review, sign digitally, and submit
  9. You receive notification when client signs

Pro Tip: Clients can also make payments via ePay if configured. Enable ePay in Company Preferences to accept credit card payments directly from proposals.

Configure which eForm template TRUE Fence uses by default when generating proposals.

  1. Open TRUE Fence
  2. Click Gear Icon (⚙️) in top right
  3. Select Preferences
  4. Locate Selections section
  5. Click Default eForm (Quotes) dropdown
  6. Select your preferred eForm template
  7. Optionally set Default eForm (Bids) if using Bids module
  8. Click back arrow to save

Note: eForms are created in Company Preferences. If you don't see your desired template in the dropdown, create it first in the main TRUE system.

Add your company branding to TRUE Fence-generated proposals for a professional appearance.

  1. Open TRUE Fence
  2. Click Gear Icon (⚙️) in top right
  3. Select Preferences
  4. Locate eForms section
  5. Drag and drop your company logo image
  6. Enter company name
  7. Enter phone number
  8. Enter email address
  9. Enter website URL
  10. Click back arrow to save changes

Note: These settings mirror Company Preferences in the main TRUE system. Changes here apply only to TRUE Fence-generated proposals.

Converting to Jobs & Follow-Up

When a client accepts your proposal, convert the Quote to a Job directly from TRUE Fence.

  1. Client accepts proposal (via eSign or verbal confirmation)
  2. Navigate to the Quote record in TRUE or via TRUE Fence Dashboard
  3. Open TRUE Fence for that Quote
  4. Navigate to Selections module
  5. Ensure an eForm has been generated
  6. Click the Job button
  7. System prompts for confirmation, click OK
  8. Quote converts to Job record with all estimate data intact

Note: Depending on your company's settings, you may need additional approvals before converting to a Job. Contact your administrator if the Job button is unavailable.

Set follow-up dates to track when to reconnect with prospective clients.

  1. Open TRUE Fence Selections module
  2. Generate eForm (follow-up available after eForm creation)
  3. Locate Follow-Up date field
  4. Enter desired follow-up date
  5. If using Email function to send eForm, follow-up triggers automatically
  6. When follow-up date is reached, you receive Alert notification
  7. Alert appears in your TRUE solution alerts

Tip: By default, the system uses the follow-up setting from Company Preferences. You can override this on a per-quote basis by manually selecting the Follow-Up field.

Settings & Troubleshooting

Control whether TRUE Fence shows technical product codes or user-friendly descriptions.

Options Available:

1. Use User Friendly Display:

  • Shows: "6' x 6' White Privacy Vinyl Fencing"
  • Instead of: "Vinyl | Privacy | White | Fencing | L:6 | H:6"
  • Best for client-facing proposals

2. Use Description as Display:

  • Uses product's Description field instead of generated name
  • Overrides User Friendly Display
  • Best for complete custom control

How to Configure:

  1. Open TRUE Fence Preferences
  2. Locate Text Display Options section
  3. Check desired option
  4. Changes apply immediately to new selections

Choose between Classic view (side-by-side) and Table view (list) based on your workflow needs.

Table View (Default):

  • Shows products in sortable list format
  • Better for searching and filtering
  • Good for reviewing multiple products
  • Best for general browsing

Classic View:

  • Shows product list on left, details on right
  • Better for editing individual products
  • Easier for changing components
  • Best for catalog maintenance

How to Set Default View:

  1. Open TRUE Fence Preferences
  2. Locate Catalog Settings section
  3. Check Classic Catalog Default View to use Classic
  4. Uncheck to use Table view

If using TRUE Draw V3 (unscaled), you must refresh the Selections list manually.

  1. Open TRUE Fence Selections module
  2. Click the Refresh Icon (circular arrows)
  3. Products should now appear in the line items list

Note: This is only necessary when using the unscaled drawing (V3). TRUE Draw V2 (scaled) automatically updates the Selections list.

Add custom material types beyond the default options for better catalog organization.

  1. Open TRUE Fence Preferences
  2. Locate Catalog Settings section
  3. Click Additional Material Types field
  4. Enter new material type name
  5. Press Enter (Windows) or Return (Mac) for line break
  6. Enter additional material types (one per line, no extra spaces)
  7. Click back arrow to save
  8. New material types appear in Material Type dropdown in catalog

Example: Add "Composite", "Wrought Iron", "Ornamental Aluminum" as custom material types if they're not in the default list.

If your eForm shows $0 or incorrect pricing for certain components while they appear correct in TRUE Fence Selections, the issue is likely incorrect Category assignments in the Catalog.

Why This Happens:

  • TRUE Fence uses the Category field to calculate component quantities when generating data to TRUE
  • Components with incorrect categories may show proper pricing in TRUE Fence but fail to calculate quantities correctly in the main TRUE system
  • When quantity calculation fails, pricing shows as $0 on the eForm
  • This happens because the system doesn't recognize how to count the component based on its assigned category

How to Fix:

  1. Open TRUE Fence Catalog
  2. Locate the component products showing $0 pricing
  3. Check the Category field for each component
  4. Update to the correct category based on component type
  5. Return to Selections module
  6. Delete the existing eForm
  7. Regenerate the eForm—pricing should now calculate correctly

Critical: Never assign fence material components (pickets, rails) the "Gate" category. The system only calculates Gate quantities for actual gate assemblies in the drawing. Components with incorrect categories won't calculate properly when data transfers to the main TRUE system.

Configuration & Administration

TRUE Fence is a separately licensed add-on module designed specifically for fence contractors. Access requires both a license and user configuration.

Requirements:

  • TRUE Fence License: Your company must have purchased the TRUE Fence add-on
  • User Account: Active TRUE user account
  • TRUE Fence Permission: User must be granted TRUE Fence access

Requesting Access:

  1. Contact your TRUE administrator
  2. Administrator verifies TRUE Fence license is active
  3. Administrator enables TRUE Fence access for your user account
  4. TRUE Fence appears in your application menu

Note: If your company doesn't have a TRUE Fence license, contact TRUE Sales to learn about adding the fence contractor module to your subscription.

The TRUE Fence Catalog must be configured with your fence products, components, and pricing before you can create selections and generate quotes.

Initial Setup Steps:

  1. Open TRUE Fence application
  2. Navigate to Catalog module
  3. Create Parent Products (fence panels, gates)
  4. Add Component Products (posts, rails, pickets, hardware)
  5. Assign correct Categories to each product
  6. Set up Pricing including labor rates
  7. Configure Product Rules for automatic component calculations

Tip: Work with TRUE Support during initial catalog setup. Correct category assignments are critical for proper quantity calculations when generating data to the main TRUE system.

TRUE Fence integrates directly with your main TRUE system, transferring selection data to create quotes, jobs, and purchase orders.

Integration Points:

  • Quotes: Generate TRUE Quote records from TRUE Fence selections
  • Jobs: Create jobs from awarded selections
